This position demands a unique blend of strategic acumen, financial literacy, operational expertise, and exceptional emotional intelligence. You will handle sensitive information with the utmost discretion, navigate complex organizational dynamics, and build strong relationships with stakeholders at all levels, from the C-suite to front-line managers. This role is designed for an individual who thrives in a fast-paced, high-stakes environment and is passionate about building scalable processes, solving complex problems, and driving tangible business impact. Key Responsibilities of Chief of Staff to the COO with a Private Company – Dallas, TX

The Chief of Staff’s responsibilities are broad and will evolve with the needs of the COO and the business. Key areas of focus will include:

Strategic Planning & Execution

Act as a key partner in the development and execution of the company’s operational strategy. Facilitate the annual and quarterly strategic planning processes for the operations division, ensuring alignment with overall company objectives. Translate high-level strategy into concrete action plans and manage the tracking of key performance indicators (KPIs) and objectives and key results (OKRs) to ensure progress against goals.

Operational Rhythm & Cadence

Design and manage the COO’s operating rhythm, including the preparation, facilitation, and follow-up for key leadership meetings, business reviews, and off-sites. Prepare comprehensive briefing materials, develop agendas, and ensure that action items are documented and driven to completion.

Cross-Functional Project Leadership

Lead and manage high-priority, cross-functional projects on behalf of the COO. This includes everything from initial scoping and planning to execution, stakeholder management, and final delivery. You will ensure these critical initiatives are completed on time, within budget, and to the highest standard of quality.

Executive Communications

Serve as a central point of communication from the COO’s office. Draft, edit, and disseminate critical internal and external communications, including board presentations, investor updates, company-wide announcements, and executive speeches. Ensure a consistent and compelling message is delivered to all stakeholders.

Business Intelligence & Analysis

Conduct in-depth analysis on key business issues, market trends, and competitive landscapes to provide the COO with actionable insights and data-driven recommendations. Synthesize complex information into clear, concise summaries to facilitate executive decision-making.

Process Improvement & Optimization

Proactively identify opportunities to improve operational efficiency, streamline workflows, and enhance organizational effectiveness. Champion initiatives that drive scalability and remove bottlenecks, working closely with department heads to implement best practices. The modern CoS is an agent of change, a concept further explored by leading publications like the Harvard Business Review.

Gatekeeping & Prioritization

Act as a strategic gatekeeper for the COO, triaging information, escalating critical issues, and ensuring their time is allocated to the most impactful activities. You will have the autonomy to handle many matters independently, acting as a proxy for the COO when appropriate.

Stakeholder Management

Build and maintain strong, collaborative relationships with internal and external stakeholders, including board members, investors, key customers, and partners. Represent the COO’s office with professionalism and integrity in all interactions.
