Key Responsibilities of Head of Private Equity Operations with a Fund Administrator – Dallas, TX

Strategic Leadership & Team Management

  • Provide strong, inspirational leadership to a multi-layered team of private equity accounting and operations professionals, including Directors, Managers, and Supervisors.
  • Foster a collaborative, high-performance culture that emphasizes quality, accountability, and professional development.
  • Develop and execute a strategic vision for the Private Equity Operations department, aligning departmental goals with the firm’s overall business objectives.
  • Oversee all aspects of talent management, including recruitment, hiring, onboarding, training, performance evaluations, and succession planning.
  • Act as a mentor and coach, guiding team members in their career progression and development of technical and soft skills.
  • Manage departmental budget, resource allocation, and capacity planning to ensure optimal efficiency and service delivery.

Operational Excellence & Fund Administration

  • Oversee the end-to-end fund administration lifecycle for a diverse portfolio of private equity funds, including buyout, venture capital, real estate, and debt funds.
  • Ensure the timely and accurate delivery of all client services, including NAV calculation, financial statement preparation (quarterly and annually), and capital account maintenance.
  • Supervise the processing of all fund transactions, including complex capital calls, distributions, and waterfall calculations, ensuring adherence to the Limited Partnership Agreements (LPAs).
  • Drive the implementation of best practices, process improvements, and technology solutions (such as AI and automation) to enhance efficiency, accuracy, and scalability.
  • Serve as the primary subject matter expert on complex accounting and operational issues, providing guidance to both internal teams and clients.
  • Manage relationships with third-party vendors, including auditors, tax advisors, and technology providers, to ensure seamless service integration.

Client Relationship Management & Growth

  • Serve as the senior executive relationship manager for key private equity clients, acting as a trusted advisor and strategic partner.
  • Proactively manage client satisfaction and retention, acting as a senior escalation point for resolving complex client issues.
  • Lead due diligence and onboarding processes for new clients, ensuring a smooth and professional transition of services.
  • Partner with the business development and sales teams by participating in finals presentations, demonstrating the firm’s operational capabilities and expertise to prospective clients.
  • Identify opportunities for expanding service offerings to existing clients and contribute to the overall growth of the firm’s private equity business line.

Regulatory Compliance & Risk Management

  • Ensure all fund administration activities are conducted in strict compliance with relevant accounting standards (e.g., US GAAP, IFRS) and legal/regulatory requirements.
  • Maintain a deep understanding of the regulatory frameworks governing private funds and ensure the firm’s policies and procedures are up-to-date.
  • Develop and maintain a robust internal control environment to mitigate operational risks, prevent errors, and ensure data integrity.
  • Oversee the coordination of annual fund audits and tax reporting processes, working closely with client-appointed audit and tax firms.

Requirements for the Head of Private Equity Operations with a Fund Administrator – Dallas, TX

Core Experience & Qualifications

  • A minimum of 15+ years of progressive experience in accounting or operations within the alternative investment industry.
  • At least 10 years of direct experience in private equity fund administration or as a Controller/CFO at a private equity firm.
  • A minimum of 7-10 years of proven experience in a senior leadership role, with a demonstrable track record of managing and developing large, high-performing teams.
  • Bachelor’s degree in Accounting, Finance, or a related field is required.
  • An active CPA license is strongly preferred. An MBA or other advanced degree is a significant plus.

Technical Expertise & Skills

  • Expert-level knowledge of private equity fund structures, including partnership accounting, capital transactions, and complex waterfall distribution models.
  • Comprehensive understanding of US GAAP for investment companies (ASC 946). IFRS knowledge is beneficial.
  • Deep familiarity with Limited Partnership Agreements (LPAs) and the ability to interpret and implement their specific terms.
  • Proficiency with major fund accounting software platforms (e.g., Investran, eFront, Allvue) is essential.
  • Advanced proficiency in Microsoft Excel and other MS Office applications.
